New Student Employees

Before a Student Can Work

Students must be officially hired into a position on Workday before they can begin working. Students must complete all onboarding paperwork including the I-9 Form, Payment Election Form, and Federal Tax Withholding Form. All onboarding documents will be in the student’s Workday Inbox about 24 hours after the hire is complete. In addition, students will need to set up a meeting with Student Employment to verify their I-9 documents. Working before the onboarding process is complete will cause delay in compensation.

 

New Student Employees

When you are selected for a position, you will receive an offer letter in your Workday Inbox. The offer letter will give you more information about the estimated number of hours you will work per week and your hourly rate. Should you choose to accept the position, you will need to electronically sign the offer letter in Workday. When accepting positions, please keep in mind you can work up to 15 hours per week total across all positions during the Academic Year. Use the instructions below to learn how to accept your offer letter and withdraw from positions you are no longer interested in.

After you have accepted your offer letter, there are a few other steps for your supervisor and Human Resources to complete before you are officially hired. You cannot begin work until you are officially hired into your position and have completed all onboarding steps. We have outlined the hiring timeline for student employees below.

Onboarding

Onboarding 

About 24 hours after your hire is complete, you will receive onboarding documents in Workday. These documents MUST be completed before you can begin working. There are three sections of the onboarding process; the I-9 Form, Federal Tax Withholding Elections and your Payment Election. These documents can all be found in your Workday Inbox. If you do not complete these forms before your first day of work, your compensation will be delayed. 

Student Employee Onboarding Instructions

Complete the I-9 Form Section 1.

The I-9 Form is required by the federal government to verify your identity and eligibility to work in the United States. For Section 1, you will need to confirm the information provided. Then, you will need to meet with a member of Human Resources to verify your I-9 documentation in-person. 

International students- Please pay special attention to the question regarding citizenship status as this can determine tax exemptions based on your country of citizenship. 

Schedule a meeting with Human Resources to verify your I-9 documents.

After you complete Section 1 of the I-9 Form, you will need to schedule an appointment with Human Resources. You can schedule a time to complete the I-9 Form with Human Resources using the link provided in your Workday Inbox under the “To Do: Create Appointment” task. All times listed are in Eastern Standard Time (EST). After scheduling this meeting, click “Submit” to complete the task in Workday. 

The United States Department of Homeland Security requires all employees to verify their identity and employment authorization. You will need to bring documents from the I-9 Acceptable Document List. All documentation presented must be original and unexpired. You can bring either one document from List A or one document each from BOTH List B and List C. Complete the Federal Tax Withholding (W-4) Form.

You will need to fill out a Federal Tax Withholding Form, also known as a W-4 Form, to determine which taxes should be withheld from your paycheck. The Internal Revenue Service (IRS) has a variety of resources available on their website regarding the completion of this form. Students are able to use the Tax Withholding Estimator provided by the IRS to complete this form. Employees in Human Resources are not authorized to assist with the completion of this form.  

 
Complete the Payment Election Form.

While filling out the Payment Election Form, you’ll be asked for information about your bank account including the account number, routing number and bank name. The Payment Election Form is used to determine where your weekly paycheck will be deposited. All students are required to receive payment via direct deposit into a United States bank account. If you need to update this in the future, search “Payment Elections” in the Workday search bar and click the “Payment Elections” task.

Social Security Number 

All students looking to be employed on campus are required to provide their social security number (SSN) to the College. If you do not have a SSN on file, you will be asked to include this information. In your Workday Inbox, you will receive a task called “Edit Government IDs” where you will need to upload your SSN along with a picture of the card.

If you are an international student who does not have a SSN, please consult the Slater International Center website for instructions on how to apply. Once you have submitted your application to the Social Security Administration, contact Student Employment via studentemployment@wellesley.edu to be guided through the remaining steps.
